Administrative Coordinator for Community Engagement

Primary Function:
Support all aspects of community relations and especially the effective implementation and management of “Jefferson Together,” a comprehensive community development program funded by a $30 million grant from Lilly Endowment. Process contracts, grant expenditures, and grant budgeting.  Serve as the College’s events coordinator for community groups and individuals seeking to use campus facilities.
 
This is a grant-funded position not to exceed five (5) years.
 
Administrative Responsibilities:

  • Provide administrative support to the President and Director of Community Relations in the implementation of grant-funded programs and initiatives.
  • Maintain comprehensive project documentation for “Jefferson Together”, including project plans, schedules, progress reports, expenses, matching funds, and documentation of key decisions and outcomes.
  • Coordinate logistics and resources required for successful project execution, including procurement, scheduling, and coordination of personnel.
  • Schedule and manage logistics for the Board of Trustees ad hoc Town and Gown Committee and the Jefferson Together Advisory Committee.
  • Work with community organizations and individuals seeking to host meetings and events on campus, including management of contracts and coordination of facilities, housing, food service, and other requests.
  • Serve as the facilitator for the Campus Events Committee, holding regular weekly meetings with and ensuring effective communication between campus partners about all internal and external campus events.
Supervisory Responsibilities:
  • Assist directly or indirectly with supervision of student workers assigned to the Business Office.
  • Evaluate and effectively communicate work assignments, provide direction, and assess performance.
  • Provide leadership through coaching, mentoring, and learning opportunities.
Financial Responsibilities:
  • Process expenses for payment, track contracts and expenditures, and manage financial reporting.
Other Responsibilities:
  • Provide backup to Business Office functions as assigned by the Associate Vice President for Finance and Administration/Controller and/or the Vice President for Business Affairs.
  • Promote a positive image of Hanover College and represent the College in accordance with the College’s mission, principles, and strategic plan.
  • Support and advocate for the College’s diversity, equity, and inclusion efforts, goals, and mission.
  • Maintain confidentiality when and as needed relative to work performed and access to information.
  • Perform / complete other duties and tasks as assigned by the Associate Vice President for Finance and Administration/Controller and/or the Vice President for Business Affairs.
Qualifications:
 
Education, Certifications, Training, Experience
  • Associate’s degree in a relevant field or equivalent administrative experience preferred.
  • Minimum of 3 years of experience in project management, grant administration, or a related role, preferably within a complex organizational environment preferred.
Skills, Competencies, Abilities
  • Strong project management skills, including the ability to organize, prioritize, and manage multiple tasks and deadlines simultaneously and independently
  • Understanding of budgeting and financial management principles, including proficiency in Excel
  • Strong computer (Microsoft Office) skills
  • Strong communication skills, both written and verbal, with the ability to effectively convey complex information to diverse audiences
  • Ability to work independently and in team environments
  • Able to work under pressure and meet deadlines, managing multiple priorities simultaneously
  • Excellent at time management, able to multi-task and be flexible
  • Strong organizational skills; detail-oriented
  • Ability to work in a fast-paced environment
  • Ability and aptitude to take instruction and direction with positivity and teamwork
  • Commitment to fostering a positive and inclusive work environment
Physical Requirements/Environment:
  • Regular/daily climbing of stairs and walking to/from activities and events on/off campus
  • Occasional lifting up to 25 lbs
  • Occasional evening and weekend work may be required
